2025-2026 Board Role Descriptions
Friends of Short Avenue (FoSA) is our school's non-profit, parent led Booster club. FoSA is dedicated to funding classroom support, building community and enriching programs to enhance the curriculum offered at Short Avenue Elementary. Sign-up for the FoSA board and committee is now open for the 2025-20256 school year. If more than 1 person is interested in a board seat an election will be held.

VOTING FoSA BOARD POSITIONS
Meeting Expectations: All voting board positions meet for monthly board meetings (2hrs) as well as attend monthly FoSA community meetings (1hr).
(1) President (Voting Position) - Estimate Time Commitment: 40 hours a month
Spokesperson for FoSA. Members look to you for leadership in creating partnerships within your community and fostering an environment where family engagement is encouraged and respected. Oversees the board, meetings, committees, and all Fosa fundraising events. Writes the FoSA portion of the Weekly Wave. Meets bimonthly with the principal to review FoSA fundraising totals and planned FoSA events, approve all FoSA communications, discuss the FoSA Community meeting agenda, and give updates on incoming sponsorships. Meets with the Principal to set the Calendar and ensure engagement and collaboration. Alongside the Vice President, manages the “welcome back to school” picnic committee and Annual Giving campaign. Is responsible for payroll is the Treasurer is on leave during a payroll cycle and is unable to send payments.
(2) Vice President (Voting Position) - Estimated Time Commitment: 20 hours a month
A key partner to the President, the VP helps lead FoSA strategy, supports board communication and co-manages large initiatives. Representing the president in their absence, implementing duties delegated by the president, volunteering at events and voting on initiatives and funding decisions. Creates the FoSA board and FoSA meeting agendas. Coordinates Board Voting. Alongside the President, manages the “welcome back to school” picnic committee and Annual Giving campaign.
(3) Treasurer (Voting Position) - Estimated Time Commitment: 32 hours a month
FoSA relies on you to ensure that appropriate financial records are kept for the fiscal year, invoices are paid, bank runs are completed when necessary, a budget is established and followed. Controls are in place to prevent theft or fraud. Maintains communication amongst committees that incur expenses and produce income. You will be responsible for updating the budget spreadsheet, Quickbooks record keeping, and providing updated financials on a monthly basis to the FoSA board and FoSA. Works with accounting firm to file yearly taxes.
(4) Secretary (Voting Position) - Estimated Time Commitment: 20 hours a month
You are responsible for attending all FoSA meetings, drafting agendas in conjunction with VP, keeping minutes and sharing them with the FoSA board and Communications director to deliver to all FoSA. You are responsible for ensuring board member notes are entered into the Weekly Wave on time by the Friday weekly deadline. You will also be responsible for checking the FoSA email account and forwarding emails to board members and committee heads accordingly.) You will work with the Hospitality director, Fundraising director, Marketing and Communications director, and President on the calendar and ensure the calendar is up to date on the website and ClassDojo. You will liaise with Enrichment vendors, school leadership and the Short Avenue Elementary community to generate a master schedule of classes, their locations, a master roster and class rosters. You will work with the Vendors and the Marketing and Communication Director to advertise enrichments and signup periods. You will also work with the Treasurer to secure payment for and from vendors and will handle relocation/rescheduling of classes whenever necessary. The majority of enrichment-related work will be before the start of each 8-12 week Fall, Winter and Spring semesters.
(5) Fundraising Director (Voting Position) - Estimated Time Commitment: 20 hours a month
You are responsible for overseeing all FOSA fundraising efforts. You will coordinate with other board members to manage the fundraising calendar and work strategically to maximize fundraising efforts among committees, directors and school leadership. You will be responsible for monitoring and evaluating the success of current fundraisers and evaluating future continuation. You will manage the chairs of all events & fundraising committees advising them and providing budget and expenses per event/fundraiser.
(6) Marketing & Communications Director (Voting Position) - Estimated Time Commitment: 60 hours a month
You manage FoSA marketing and communications to present cohesive messaging about FoSA events and initiatives to school. Works with Fundraising Director, Committee heads, and other board directors to ensure messaging and digital and print assets are created and cascaded for campaigns and events. Manages, teacher and staff appreciation coordinator and Marquee coordinator. Serves as ClassDojo, school website and the FoSA website administrator.
(7) Hospitality Director (Voting Positing) - Estimated Time Commitment: 20 hours per month
This position is responsible for coordinating and executing on Dolphin Cafes and Coffee with the Principal. Manages the Restaurant/food truck fiesta coordinator as well as the Dolphin Cafe committee. You do not necessarily need to attend each event, but will make sure refreshments are delivered and available for School Tours and other events that require refreshments. Coordinates with the president and secretary about the calendar for the year.
- Dolphin Cafes: Coordinate 4/5th grade volunteers and training, Coordinate w/ Sponsorship for donations, Make signage and menu for each cafe; Manage money (Cash, Zelle, Venmo) at the event, Purchase supplies (Creamer/Milks, sugars, napkins, gloves, small quantities of allergy friendly food)
- Teacher/Staff Appreciation Luncheon
- Manage Capri Coffee Orders: Coffee w/ Principal, FOSA meetings (in person), Beautification Days, School Tours, Culmination
(8) Class Ambassador Director (Voting Position) - Estimated Time Commitment: 20 hours per month
Responsible for and supports classroom ambassadors in fostering positive parent-school relationships. This role helps recruit, organize and provide orientation to CA at the start of the school year. Throughout the year, they provide clear guidance on CA responsibilities and ongoing support. Works directly with the Marketing Director to coordinate classroom-level communication, share key resources, and promote volunteer opportunities and school events.This role, alongside Class Ambassadors, encourages family involvement through events and volunteer opportunities. This role helps ensure that every class feels connected and informed while also supporting broader volunteer engagement across school initiatives and committees. This role helps lead the back to school night parent mixer and back to school picnic.
(9) Sponsorships Director (Voting Position) - Estimated Time Commitment: 20 hours per month
The Sponsorships Director leads efforts to secure financial and in-kind contributions from local businesses to support school programs and events. They manage a volunteer committee focused on outreach and relationship-building, ensuring sponsorship needs are met throughout the year. This role works closely with event chairs to identify partnership opportunities and align support with each event's goals. The director also negotiates sponsorship agreements, oversees fulfillment, and ensures proper sponsor recognition through signage, social media, and marketing materials. Coordination with the Treasurer is essential for managing payments, documentation, and tax acknowledgments. Through consistent stewardship and collaboration with the Fundraising Director, the Sponsorships Director helps sustain and grow strategic partnerships year after year.
NON-VOTING FoSA POSITIONS
Meeting Expectations: All non-voting board positions meet for quarterly board meetings, committee meetings as needed as well as attend monthly FoSA community meetings.
Hospitality Coordinator (non-Voting Position) - Estimated Time Commitment: 2 hours per week
You will work closely with the Hospitality director and committee chairs to ensure dolphin cafes, snack sales, teacher appreciation lunch, etc. are completed.Including but not limited to ensuring refreshments are ordered, delivered/picked up, that the event is staffed as appropriate, and decor as appropriate is placed.
Spanish Family Liaison (Non-Voting Position) - Estimated Time Commitment: 2 hours per week
Translates all FoSA communication for our Spanish-speaking families and communicates concerns/ideas/needs of our Spanish-speaking families back to the FoSA board and the school as necessary. Works closely with the school to support the Spanish speaking community.
Teacher & Staff Appreciation Coordinator (Non-Voting Position) - Estimated Time Commitment: 2 hours per month
As a part of the communication team, you will be responsible for writing thank you letters/cards to donors and birthday cards for teachers/staff. You will liaison with the school community representative as well as the FOSA Marketing & Communications director. This is the perfect position for someone who doesn't have a lot of time to volunteer but still wants to be involved.
Field Trip Coordinator (Non-Voting Position) - Estimated Time Commitment: 12 hours per month (for only 1-2 months)
The Field Trip Coordinator supports the school and teachers by organizing the logistics of classroom field trips. While teachers select the destinations and activities, this role ensures the planning and scheduling run smoothly. You will work with teachers to coordinate the field trips, assist in selecting and booking trips, and help book transportation. Your main points of contact will be with Rachel Burris and the teaching staff. Most of the work is done at the beginning of the year during the first semester. Great for someone that is organized and wants to call, book and schedule field trips. This role is great for someone who enjoys calling businesses, organizing details, is efficient, responsive, and comfortable managing multiple moving parts.
5th Grade Coordinator (Non-Voting Position) - Estimated Time Commitment: 2 hours per month
Help plan AstroCamp, graduation, and other fun 5th grade events. You will recruit and manage the 5th grade graduation committee. You will engage with the FoSA board, the fifth grade teachers and the school to ensure our 5th graders have an enriching last year of their elementary school experience.
Beautification Coordinator (Non-Voting Position) - Estimated Time Commitment: 2 hours per month
You will recruit and manage the beautification committee, which will include facilitating one to two beautification days at the school. You will liaison with the school principal as well as the facilities staff to ensure the campus is well maintained and remains a clean, safe and engaging place for our children. You will coordinate with the Garden Coordinator to ensure garden and green space needs are considered for Beautification day/s. Additionally, you ensure all art banners and flyers are hung when needed, not falling off throughout the year, and disposed of when necessary.
Garden Coordinator (Non-voting Position) - Estimated Time Commitment: 10 hours per month
You will manage and maintain the garden, inclusive with managing our master gardener and ensuring each class has repeated scheduled time in the garden. You will work with the school to ensure the green space and other garden/green areas on campus are maintained. Additionally, you will work with the Beautification Coordinator to ensure the garden, green space and other areas on campus’s needs are considered and met during Beautification day activities. You will help write grants to support the school’s garden and green space needs throughout the school year.
Restaurant/Food Truck Nights Coordinator (Non-Voting Position) - Estimated Time Commitment: 10-12 hours per month
Under the guidance of the Hospitality Director, you will manage and update a list of food vendors for events such as Restaurant Nights and Food Truck Fiesta Nights. You’ll be responsible for reaching out to vendors, booking and coordinating event logistics, and ensuring a variety of food options that reflect the diverse Short Avenue Elementary School community. A list of previously partnered restaurants, along with a suggested donation strategy, will be provided to help you get started. You'll also be expected to grow this list over time by introducing new vendors. In this role, you’ll coordinate directly with restaurants and food trucks on scheduling, promotion, and payment collection.
Marketing Coordinator (Non-voting position) - Estimated Time Commitment 12 hours per month
The Marketing Coordinator supports the Marketing Director in delivering clear, cohesive communications about FoSA events and initiatives to the school community. This role helps bring campaigns to life through flyers, messaging, and digital content, and plays a key part in ensuring families stay informed and engaged throughout the year. This role helps coordinate with committee leads and board members to gather event details and ensure timely communication, support updates to the FoSA website and school website as needed (via school contact. Provide back-up support for teacher/staff appreciation and marquee messaging coordination when needed.
Marquee Coordinator (Non-voting Position) - Estimated Time Commitment: 2- 3 hours per month
Under the management of the Marketing and Communications director you will update and program the school marquee with events, birthdays and acknowledgements. You will also work closely with the school and Community representative to ensure messages are displayed. In addition to the Marquee you will be responsible for maintaining the Front Office exterior bulletin board, ensuring messaging is up to date.
Sponsorship Coordinator (Non-voting Position) - Estimated Time Commitment: 12 hours per month
The Sponsorships Coordinator works under the guidance of the Fundraising Director and Sponsorships Director to support sponsorship efforts throughout the school year. This role helps secure sponsors for key events and art banners that provide visibility around campus. The coordinator is responsible for communicating banner specifications to sponsors and managing the banner creation process for the Art Banner fundraiser through the eSigns platform. They also generate and incorporate custom QR codes to enhance sponsor engagement. In collaboration with the board, they help install and remove banners on the school fence as sponsorships begin or end. Peak times during the year (Sept-Oct), (mid Jan-Feb), (March-mid April)
Library Coordinator (Non-voting position) - Estimated Time Commitment 2-3 hours per month
The Library Chair supports library-related events and fundraisers throughout the school year, working closely with the librarian. Key responsibilities include leading the annual Book Fair and Used Book Fair, coordinating setup, staffing, sales, and working with the Marketing and Communication DIrector to promote both. This role also involves supporting the creation and promotion of the library wishlist. In addition, the Library Coordinator will help recruit and organize library volunteers to support ongoing activities and create a welcoming, engaging environment for all students. This role is perfect for someone who is organized, enthusiastic about books, and passionate about fostering a love of reading in our school community.
